2. Data We Process

  • Uploaded files and conversion results.
  • Job data: file name, selected output format, file size, time of upload and completion, your IP address, your browser identifier (user agent), the referring page (referrer) and your preferred language. When using the API, also a short hint identifying the API key used. In addition, a checksum of the file content: if a conversion fails because of the file itself, we reject the same file immediately until the deletion period ends, instead of processing it again.
  • Abuse-protection data: to enforce request limits, we briefly record how many requests and open jobs originate from your IP address – when using the API, from your API key, stored only as a checksum.
  • Logs:
    • Web server access log: time, requested address (including the job identifier), status code, amount of data transferred, referring page, browser identifier and your truncated IP address. For IPv4 the last block is replaced by 0; for IPv6 only the first 48 bits are kept.
    • Web server error log: only for rejected requests (for example when the request limit is exceeded or a file is too large) and for server errors. It contains time, request and your full IP address.
    • Application logs: time, requested address, job identifier, source and target format and the truncated IP address. File names are not logged.
    • Security log: time, action (upload, deletion), job identifier, file extension and target format, truncated IP address and, when using the API, the short API key hint.

3. Purpose of Processing

We process files and job data solely to convert your documents and to make the result available for download. Abuse-protection data and logs serve secure and stable operation, the prevention of abuse and troubleshooting; the truncated access log is additionally used to evaluate access figures.

4. Legal Basis

Conversion is based on Art. 6(1)(b) GDPR (performance of a contract or pre-contractual measures). Abuse protection, logs and the evaluation of access figures are based on Art. 6(1)(f) GDPR. Our legitimate interest is a secure, stable and appropriately sized service.

5. Storage Duration

  • Uploaded files, conversion results and job data are deleted automatically, at the latest after 24 hours. The service checks for deletion every 15 minutes.
  • Intermediate copies in the conversion service: a copy of the result is created there during conversion. It is deleted after 2 hours at the latest.
  • Abuse-protection data: at most 1 hour after your last request.
  • Web server error log (full IP address): 14 days.
  • Application logs (truncated IP address, no file names): continuously overwritten and kept centrally for at most 14 days.
  • Security log: 30 days.
  • Web server access log (truncated IP address): 400 days, so that access figures can be compared over a year and attack patterns traced.

Uploaded files, conversion results and job data are not included in any backup. Once deleted, no backup copy of them exists.

6. Data Sharing

All data is processed exclusively on our own infrastructure. There is no sharing with third parties and no transfer to third countries.

7. Your Rights

You have the right to:

  • Access your stored data (Art. 15 GDPR)
  • Rectification of inaccurate data (Art. 16 GDPR)
  • Erasure of your data (Art. 17 GDPR)
  • Restriction of processing (Art. 18 GDPR)
  • Data portability (Art. 20 GDPR)
  • Object to processing (Art. 21 GDPR)
  • Lodge a complaint with a supervisory authority (Art. 77 GDPR)

Immediate deletion: you do not have to wait for the 24 hours to pass. Via the API, delete a job with DELETE /api/v1/files/{job_id}. Otherwise an informal email to info@juergenkoller.software stating the job identifier is sufficient – you will find it in the address of the status page.

8. No Cookies, No Tracking

This service sets no cookies and uses no tracking or analytics tools. No user profiles are created.

It stores only one thing in your browser: if you use the switch in the page header to choose a light or dark appearance that differs from your device setting, your browser keeps this choice in its local storage (entry jks-theme with the value "light" or "dark"). The entry contains no identifier and is not transmitted to us. It is deleted as soon as your choice matches your device setting again or when you delete the website data in your browser. The legal basis is § 25 para. 2 no. 2 TDDDG: storing it is strictly necessary to provide the appearance you have chosen.

If you follow a link to one of our other services, we add the appearance currently shown to the address as theme=light or theme=dark. The target page applies it and removes the addition from the address bar straight away. Like any address requested, it may appear in that site's server logs; it describes the appearance only, not you.

9. Technical Notes

Data is transmitted encrypted (HTTPS). Access via the API requires an API key. Data transmitted via the API is subject to the same provisions as files uploaded through the web interface.
